The Role
We’re looking for a Workplace Experience Manager who will keep our Stockholm office running smoothly and help create an inspiring and welcoming environment for everyone at Soundtrack.
You will also play an important role in the set-up of our new Hub in New York, including occasional travel and coordination with local vendors and office providers.
You’ll be the go-to person for everything from daily operations to IT admin, office logistics and event support - ensuring that things don’t just work, but work well and continuously improve.
Responsibilities
Organize and coordinate day-to-day workplace operations, office logistics and internal events
Act as the primary internal point of contact for workplace-related matters, providing hands-on, structured and solution-oriented support to employees
Manage office supplies, equipment, facilities coordination and ensure a welcoming, organized and well-functioning office environment
Own and coordinate device procurement, phone subscriptions, access cards and lifecycle management for employees across locations, including our US team
Structure and manage onboarding/offboarding processes related to devices, access and workplace setup
Provide first-line technical support (Google Meet, meeting room technology, basic network troubleshooting, etc.) and coordinate external support when needed
Set up and host large internal meetings and ensure a seamless hybrid/remote experience
Identify opportunities to improve processes and continuously enhance the workplace experience
Drive and coordinate the establishment of our New York Hub, including vendor selection, office setup and travel to New York as needed
About You

You’re the kind of person who naturally takes initiative, keeps things organized, and enjoys helping others. You take ownership, have a hands-on approach and aren’t afraid to solve problems before escalating them.
You’re comfortable navigating digital environments and learning new tools. You don’t need to be a technical specialist, but you feel confident taking responsibility for our technical workplace setup.
You bring positive energy to the office and enjoy creating an environment where people want to come in and collaborate.
Requirements
2+ years of experience in an office operations, workplace, or administrative role with ownership responsibility
Solid IT knowledge and hands-on experience supporting workplace technology (devices, hybrid meeting solutions, basic network troubleshooting)
Experience coordinating external service providers and managing vendors
Strong organizational skills and the ability to prioritize multiple incoming requests
A proactive, solution-oriented and service-minded mindset
Fluent in English with strong professional proficiency in Swedish
